Vacations Edutainment Pvt. Ltd. (“Vacations Edutainment”, “we”, “us” or “our”) is committed to protecting your personal data and respecting your privacy. This Privacy Policy explains what personal data we collect through this website, why we collect it, how we use and protect it, and the rights you have under India’s Digital Personal Data Protection Act, 2023 and the rules made under it. By using this website or submitting any form on it, you agree to the practices described here.

For the purposes of the law, Vacations Edutainment is the Data Fiduciary that decides how and why your personal data is processed. If you have any questions, our Grievance Officer’s details are given at the end of this policy.

1. What personal data we collect

We collect only the information you choose to give us through our enquiry, feedback, brochure-download and contact forms, and any details you share when planning or booking a trip. This may include:

• Your name, email address and phone/WhatsApp number;
• Your school or organisation, and your role (student, teacher, head of organisation, parent or other);
• The content of your enquiry, message or feedback, and any rating you give;
• Where you proceed to plan or book a trip: the traveller’s details necessary for the journey — such as the student’s name and age, passport details, photographs, and any emergency-contact or essential health information you provide for the traveller’s safety;
• Basic technical information your browser sends automatically (such as general usage of the site).

2. Why we collect it (purposes)

We use your personal data only for the specific purposes for which you provide it, namely to:

• Respond to your enquiries and provide the information, brochures or itineraries you request;
• Plan, organise and deliver educational tours, exchange programmes and related travel services;
• Read and respond to your feedback;
• Contact you about your trip and provide customer support;
• Meet legal, regulatory and safety obligations.

3. Consent and how to withdraw it

We process your personal data on the basis of your consent, which you give by ticking the consent box on our forms before submitting them. Your consent is limited to the purposes described above. You can withdraw your consent at any time by emailing us at info@vacationsedutainment.com. Withdrawing consent is as easy as giving it, and will not affect anything we did lawfully before you withdrew. Once you withdraw consent, we will stop processing your data for that purpose unless we are required to keep it by law.

4. Children’s data

• We collect and process a child’s personal data only with the consent of a parent or lawful guardian, provided by the person who submits the form on the child’s behalf.
• When you submit a form on behalf of a student who is under 18, you confirm that you are their parent or guardian (or are authorised by them) and that you consent on the child’s behalf.
• We do not use children’s data for tracking, behavioural monitoring, profiling, or targeted advertising directed at children.
• We collect a child’s data only to the extent needed to arrange and safely deliver the educational trip they are part of.

5. How we share your data

We do not sell your personal data. We share it only where necessary to deliver the services you have asked for — for example with airlines, hotels, ground-handling partners, visa services and trip coordinators involved in your specific programme — and only the information they need. We may also disclose data where required by law or to protect the safety of travellers.

6. How long we keep it

We keep your personal data only for as long as it is needed for the purpose you gave it, or as long as the law requires, after which it is deleted or anonymised.

7. Your rights

Under the Digital Personal Data Protection Act, 2023, you have the right to:

• Access a summary of the personal data we hold about you and how we process it;
• Ask us to correct or update inaccurate or incomplete data;
• Ask us to erase your data where it is no longer needed;
• Withdraw your consent at any time;
• Nominate another person to exercise your rights in the event of death or incapacity;
• Raise a grievance with us and, if unsatisfied, complain to the Data Protection Board of India.

To exercise any of these rights, please contact our Grievance Officer below. We will respond within the time period required by law.

8. Cookies and third-party content

This website uses limited cookies and embeds some third-party content — for example a Facebook page feed and Google Maps. These third parties may set their own cookies when their content loads. You can control or block cookies through your browser settings. We do not use these tools to profile children.

9. How we protect your data

We apply reasonable security measures to protect your personal data against loss, misuse or unauthorised access. In the unlikely event of a personal-data breach, we will act and notify affected individuals and the Data Protection Board of India as required by law.

We may update this Privacy Policy from time to time. The “last updated” date at the top shows when it was last revised. Please review it periodically.
